Module 'Maintenance'

  The module " Maintenance - Repairs " is arranged around four principal sub-modules :
- The follow-up of the preventive maintenance (PEP).
- The input of the work orders and the planning of the workshops.
- The control of the inventories of parts and the orders to suppliers.
- Statistics of costs.

   THE FOLLOW-UP OF THE PREVENTIVE MAINTENANCE (PEP)

 The system produces the list of the units automatically having to undergo a preventive maintenance in next X kilometers or in X days.

 The foreman of workshop determines with each request for list, the parameter ' x'. It can obtain to the screen or to the printer, the list of the vehicles due in next the 2000km, 5000km, etc or in the 5 next days, or 15 days, etc.

 According to the workload of the garage and the availability of the equipment, the person in charge of the garage can then plan the order of the interventions to be carried out in short or medium term. He can also select the types of maintenance which he privileges.

 In addition to maintenance of the PEP, each equipment has its own calendar of maintenance. The mechanic can  follow each oil change, each change of brakes, etc. The number of the type of maintenance is not limited. The reports/ratios are complete and of easy reading.

 The follow-up of the tires is also integrated. The history of each tire with its position by axle is kept on file.

 The system also keep the references of parts under warranty, and the user can in any time to produce a list of the parts which guarantee expires in the next x number of days.

 With each work sheet coded PEP, the system registers it in the history of the PEP and plans the date or the odometer of next PEP maintenance . Different lists are available to answer the various ways that have the mechanics to see the PEP.

THE INPUT OF THE WORK SHEETS (WORK-ORDER) AND THE PLANNING OF THE WORKSHOPS

The work sheet to be carried out can be automatically emitted
- by the program " round of security "
- by the program " inspections PEP "
- or by a dispatch having been informed of necessary corrective maintenance by the driver.

 The work sheet to be carried out can be entered manually by the garage at the time when the equipment is coming in.

  It can be given printed for the mechanic, or as well consulted on screen, and ad parts on it as work advances, thanks to our " interactive punch ” program located inside the workshop.

 The parts necessary for a work sheet are listed and can have come out of the shelves by the storekeeper before the beginning of work, or well they can be given to the mechanic progressively.

 If the work order requires the ordering of parts, the system will print a purchase order for the missing parts, or simply to restock the inventory as soon as it reaches the minimum threshold.

 When there are several providers for a same part, the system guides the user towards the choice of the parts, on the delivery times, the prices, or any other criteria.

 The outside work sheets can include the work made by others and makes it possible to keep track of the costs of external part and labour, as well as the follow-up of the parts and work under warranty.

 The work sheets can be filled in advance if the foreman knows how many hours and what qualifications are necessary to do the work. It can print the planning sheets by workshop for a day or for several days, and establish a sequence.

The system being interactive, the dispatch is informed in real time, of the status of the trucks or trailers in or out of the garage.

The work sheets can be made for equipment of the fleet or to a third party.

 

THE CONTROL OF THE INVENTORIES OF PARTS AND THE COMMANDS TO THE SUPPLIERS.

 The parts are coded by an internal reference to the garage, or by the reference of the supplier, or by the two codes.

 The parts file can be queried by any portion of code or any field of the file (description, dates, price, quantities, universal, standard code of equipment, etc). For example, if the clerk ask for " * ROD * ", the system will display all the parts having word " ROD " in the description.

 Each part is localised in the inventory by its site (arranged, shelf, position).

 Several lists for control of the quantities in inventory or the parts rotation are available. Other reports/ratios make it possible to know volumes by types of parts, supplier, between two dates, etc. So the system will provide all the tools for  the negotiation of the purchase prices with the suppliers .

 The system keep the dates of purchase, the quantities and the prices purchase.

 When a minimal quantity is entered for a part, the system will print the parts orders automatically.

The parts can be controlled directly from the work sheets.

The system manages the remaining quantities in B.O..

The system makes the follow-up of  the cores .

 

  STATISTICS OF COSTS

 All the statistical reports/ratios can be printed:

- in a detailed or summary way.
- for one or more equipment.
- for a type or a category of equipment, or several, or for the complete fleet.
- from date to date (the system preserves all the histories since the first entry).
- for one or more workshops.
- to the screen or to the printer.

The principal reports/ratios of costs are:

- costs of maintenance (preventive, corrective)
- costs by type of repairs.

- costs by code of repairs.
- costs by class of repairs (engine & transmission, frame, suspension, body, tires, electricity, general maintenance, external repairs, remanufactured parts, washings, etc.)
- costs by cause (fair wear and tear, improper use, accidents).
- costs of garage.
- costs of labour.
- costs by mechanic.
- costs of the equipment.

- history by vehicle.
